Swim Meet - Entry Fees
Meet Entry Fees
Each family pays for their swimmer's meet entry fees. Meet entry fees will be invoiced electronically with monthly dues. If a member has decided to pay cash, payment of the meet entry fees will be due within 10 business days of the meet. If the member has not paid their dues within this time, they will not be able to sign up to swim for the next meet through the team’s website. The swimmer can still sign up at the meet but the cost of signing up is usually double.
Meet entry fees vary depending on the sponsoring club. Generally the fees are $3 to $4 per event. For example, if your swimmer is signed up for 8 races, and the sponsoring club is charging $4 per event your meet entry fees would be 8 x $4 = $32.
Splash fees
The host team generally charges a splash fee, water usage or facility usage fee. It is generally a fixed fee per swimmer of around $5.
EPAP charges a flat Commitment Fee of $5 per swimmer, per meet.
EPAP charges a flat Travel Fee of $40 per family, per meet to offset the cost of coaches travel.
Additional Commitments
EPAP Sponsored Swim Meets and Fundraisers
Each family is required to work at the EPAP meets. We have at least 2 swim meets, the Leo Cancellare Meet in December and the EPAP Summer Meet in July. The meets are run by our volunteer efforts, we require at least 35 people to run each session of the meet. There are at least 5 sessions per meet. Those that do not/cannot help out at these meets can pay an "Opt Out" fee; the fee amount will be determined by the EPAP Board, and is a minimum of $50 per session.
In addition, our LSC, Border Swimming, sponsors the Border Championships (Border Champs) at the end of each season and each of the El Paso teams must help run 1 session.
Ad Sales
Each family is responsible for selling $60 of advertising for each of our sponsored swim meets, (one winter meet and 1 summer meet). If you are unable to sell the ads, the $60 fee will be added to your invoice. Selling ads allows us to keep our fees lower.
Food and Drink for EPAP Meets
Each session of our meet is run by at least 35 volunteers who have to be supported with food and drink. Before each meet, you will be asked to donate food or drink for the volunteers.
EPAP FINANCIAL POLICY
-
Financial obligations are electronically drafted on the 5th of each month. In the event of non-sufficient funds, a $10.00 late fee will be added each month until the account is brought current.
-
Accounts become delinquent after 10 business days. At that time, the swimmer will not be allowed to: practice or enter meets, local or out of town.
-
Any payment returned for insufficient funds will be assessed a $30 fee. Reimbursement or other arrangements must be made within 20 days to remain eligible to swim. If three insufficient funds payments are returned, you will be required to make all future payments with a money order.
-
The team administrator (NOT THE COACH) must be contacted by the 1st of the month if the swimmer is leaving the program. Otherwise, the family will be responsible for all dues until the administrator is notified. December 1st is the last day to drop for the season short course season, any drops after that date are responsible for dues through March 31st.
-
No Refunds will be made when swimmers are absent for a prolonged period of time or when swimmers drop out during the month. All financial obligations must be paid in full when the swimmer rejoins the team after an absence. I understand that if a swimmer requires a medical leave of absence, written request must be sent to the Board of Directors. Leaves of absence may be granted for a period of not less than 3 months. A $30.00 administrative fee will be charged to reactivate the swimmer account.
-
One member of each family is required to serve in any capacity at swim meets and fund raising events however an “Opt out fee” can be paid in lieu of working. Opt out fees are determined by the Board and are a minimumof $50 per session.
